Job Summary

The Operations Executive – Vault Management will be responsible for the secure, accurate, and efficient management of security documents maintained within the vault.

The role includes document control, file movement tracking, reconciliation, authorized document release, and coordination with branches, finance teams, and external stakeholders while maintaining confidentiality and operational integrity.

Key Responsibilities

• Ensure secure custody of all original security documents and protect them from unauthorized access.
• Maintain proper vault custody and secure storage arrangements according to internal control procedures.
• Record, track, and update document movements accurately within the system.
• Verify completeness and authenticity of documents before acceptance and release.
• Control vault access through dual-control and authorized access procedures.
• Coordinate with branches and departments for timely collection and dispatch of documents.
• Conduct daily and weekly reconciliation of physical documents against system records.
• Provide required documentation and support during:
  • Internal audits.
  • External audits.
• Ensure compliance with:
  • Company policies.
  • Internal guidelines.
  • Regulatory requirements.
• Maintain strict confidentiality and uphold data security standards at all times.

Requirements

Applicants should possess:

• Diploma or Degree in:
  • Business Administration.
  • Finance.
  • Related discipline.
• Prior experience in:
  • Operations.
  • Document management.
  • Banking.
  • Finance sector.

• Strong attention to detail with excellent organizational skills.
