The Colombo Ice Company (CICL), manufacturer of Elephant House Ice Creams and a subsidiary of John Keells Holdings PLC, is seeking a Project Administrative Executive to support its Supply Chain operations.
This role is based in Avissawella and focuses on project coordination, documentation, stakeholder communication, and process optimization, including opportunities to work with automation and AI-driven solutions.

🛠️ Key Responsibilities
📊 Project Monitoring & Reporting
- Track project timelines against Gantt charts and identify risks/delays
- Maintain action trackers and update regularly
- Follow up with stakeholders to ensure task completion
- Escalate pending issues to Project Manager
- Prepare weekly/monthly progress reports
📁 Documentation & Administration
- Maintain project documentation (reports, approvals, contracts)
- Ensure timely circulation of meeting minutes and trackers
- Support preparation of presentations and status reports
- Manage document versions and audit-ready records
🤝 Stakeholder Coordination
- Act as a central point of contact between teams
- Coordinate meetings and project reviews
- Communicate project updates, risks, and dependencies
- Ensure smooth collaboration across departments
⚙️ Innovation & Automation
- Identify repetitive tasks and streamline using automation
- Propose AI-driven solutions for efficiency improvements
- Support implementation of automated tracking and reminders
- Monitor performance of automation initiatives
📋 Process Compliance
- Ensure compliance with company policies and standards
- Support audit documentation and approvals
- Assist in project management best practices
- Handle schedules, travel arrangements, and admin support
👤 Requirements
- BSc/Diploma in Project Management / Business Administration
- Minimum 1 – 2 years experience in a manufacturing environment
- PMP certification (added advantage)
- Understanding of project management processes
- Strong communication, coordination, and analytical skills
- Ability to manage multiple tasks and stakeholders efficiently
